We look forward to welcoming you at The ICC, Birmingham for the 2022 Annual Scientific Meeting of the British Society for Gynaecological Endoscopy. We are delighted however to offer discounted rates to BSGE members and there are significant reductions for early bird registrations. If you are a BSGE member, please have your login information ready. If you are not a member, you will be prompted to create an account. Payment is required to confirm your participation.

Non-members can join the BSGE via https://www.bsge.org.uk/join-us/ and pay discounted registration fee for the ASM at the time of the registration.

Please note: BSGE membership must be current at the time of registration as well as for the duration of the meeting to receive the discounted member registration rates. If your membership has lapsed or will lapse between the date of registration and the end of the meeting, you must renew your membership.

Please register before 29th March 2022 to take advantage of the most favourable early bird rates.

The registration fee includes admission to all scientific sessions, poster sessions, exhibition area, tea, coffee, and lunch on registered day(s).

The 2022 BSGE annual scientific meeting (ASM) is only for healthcare professionals and gynaecological industry representatives who are exhibiting at the event. By registering you confirm that you are a healthcare professional (nurse, paramedic, doctor, gynaecologist, medical student) or a gynaecological industry representative taking part in the 2022 BSGE ASM.

Full registration fees will apply from 29th March 2022.

If you register and do not make payment by the early registration fee deadline, you should make payment for the late registration fee.

Please note to qualify for BSGE member’s rate, your subscription must be up to date. You can however, become a member of the BSGE today by visiting bsge.org.uk and qualify for the discounted rate.

Confirmation of Payment
You will receive your confirmation and receipt within 5 working days of our receiving your registration form with payment. If you do not receive this, please contact BSGE Secretariat at 0207 772 6474 or by email bsge@rcog.org.uk

Cancellation Policy
Cancellations must be submitted via email by 4th April 2022 to BSGE Secretariat at bsge@rcog.org.uk

Cancellations made after 4th April 2022 will not be refunded.

An administration charge of £25 will be made on all cancellations received before or on the above date. We regret that the attendance fee cannot be refunded after this date. Registration fee minus administration charges will be processed after the conference.

No Shows will NOT be refunded.

In the unlikely event the BSGE ASM 2022 is cancelled, we regret we are unable to refund any delegate travel and/or accommodation costs that have already been incurred by the delegate, or any administration charges relating to cancellation of travel tickets or accommodation.

Cancellation of Social Event
Cancelled social event tickets will be refunded after the BSGE ASM 2022 provided that written notice of cancellation is received by the BSGE Secretariat at bsge@rcog.org.uk by 4th April 2022. An administration charge of £25 will be made on all cancellations received before or on the above date.

No refunds will be made for cancellations received after this date, although name substitutions will be accepted at any time.

Register with Invoice
Delegates can request an invoice for their registration fee but should note the following rules will apply:-

Early Bird Discounts are NOT available to delegates who wish to pay by invoice. If you wish to take advantage of the Early Bird rates you will need to pay your registration fee in full at the time of booking.

Invoices can only be requested by delegates attending from the UK. If you are based overseas you must pay your registration fee in full at the time of booking.

The deadline date for requesting an invoice is 21st March 2022.

Invoices can be made out to the paying authority but ALL invoices will be sent directly to the delegate. It is your responsibility to ensure the invoice is passed to the correct department and that payment is made by the deadline date.

All invoices must be paid in full by 4th April 2022.

Delegates who arrive at the conference, but whose registration fee is outstanding, will be charged the higher, onsite registration fee and will not be able to gain access to the conference sessions until full payment has been made.

Change of Registration
The delegate must inform the BSGE Secretariat immediately about any change in registration by email to bsge@rcog.org.uk

A change from onsite registration to virtual registration is possible until 1st April. Fee paid for any social events will be refunded after the ASM minus £25 administration fee if BSGE Secretariat is informed before 1st April. Unfortunately we cannot refund fee paid for social events if informed after 1st April.

Access to the Conference
Registration is only allowed for health care professionals and industry representatives. Attendees might be asked to provide a proof of status (e.g. ID card, confirming letter of workplace) when requested.

Name Badges for the ICC
All participants will receive a name badge, which must be worn visibly for the entire duration of the congress. The name badge acts as a personal entrance ticket for the conference and is non-transferable to other persons.

COVID 19 Status Check
The BSGE and the ICC are committed to providing safe and secure environments for all attendees of the conference. In order to achieve this, number of measures will be in place across the venue including COVID-19 status certification checks.

A dedicated COVID-19 status checking system is implemented at agreed entry points at the ICC. This system will be in operation during event activity to ensure all visitors entering the ICC have shown an accepted proof of status before reaching their event.

Coloured wristbands will be used to identify that a COVID-19 status check has been completed and will ensure re-entering the venue throughout the event is a fast and simple process. These wristbands have 48hr check validity.

All visitors, exhibitors and contractors regardless of their initial method of proof will be required to show their status again after 48 hours has passed if their event goes beyond this time. When being re-checked at the checkpoint on the third day, they will then receive a new coloured wristband.

As wristbands are valid for 2 days, make sure not to remove these after Day 1 if you are planning on returning the following day. This will help to speed up your re-entry into the venue and avoid the need to be re-checked.

The Accepted Methods of Showing COVID-19 Status
The ICC teams managing the checkpoints will be fully briefed and aware of all forms of valid evidence that can be used to prove COVID-19 status, recognising that each of the UK devolved nations and overseas visitors have different evidence.

  • NHS COVID Pass via the NHS App (NB: This is different to the NHS COVID-19 Test and Trace app). It is advised individuals apply no later than 48 hours before attending their event to allow for the application to be processed in time.
  • Proof of immunity shown by a positive PCR test result for COVID-19, lasting for 180 days from the date of the positive test and following completion of the self-isolation period.
  • Lateral flow or PCR negative test results text or e-mail, received within 72 hours prior to attending the event. However, we would encourage visitors to complete their test within 48 hours as some organisers/promoters may request the shorter timeframe.
  • EU Digital or paper COVID Certificate. International visitors can show their equivalent COVID Pass from their country of origin.
  • If visitors would prefer not to use the app or do not have a smartphone they can obtain a NHS COVID Pass letter (proving vaccination status only) by calling 119 or visiting the NHS website.

Recording
All presentations and lectures are intellectual property of the authors and thus no audio or video shall be recorded or broadcasted at any time by the participants. In accordance with the authors the scientific programme will be recorded by the organizers to be provided on the virtual platform.

Please note that any speaker or delegate asking a question might be recorded together with the running session which will be available on the virtual platform.

Filming
By attending the meeting, members consent to being filmed and/or photographed for BSGE purposes.

Certificate of Attendance
Certificate of Attendance will be emailed to all delegates shortly after the meeting on completion of a feedback form and are only available for delegates who attend.

Disclaimer
The BSGE shall not be liable for accidents, bodily injury, and theft as well as for additional costs due to the change of the event date, location, and programme or similar. Liability for additional costs due to delays, changes or cancellations of flights, trains or other means of transport as well as due to strike action, illness, weather or environmental disasters is also excluded. It is the responsibility of each participant to arrange appropriate theft-, accident-, health- as well as travel-cancellation insurance. Participants take part at their own responsibility and risk.
